Connect the tools without losing the unfinished cases.
Reduce repeated entry while keeping the meaning and ownership of each record clear.
Agree what should move
A customer detail, an approved job and a payment response need different handling. We identify the source of each field, the destination and the event that starts the handover. Moving every available field is rarely a substitute for deciding what the receiving team needs.
Work can include provider discovery, data mapping, authentication, scheduled transfers, callbacks and a staff exception queue. Your organisation retains provider accounts and recovery. Development access follows the agreed task and should be reviewable at handover.
Make repetition safe and explainable
Review what happens when a request is repeated or a response arrives late. A retry should not silently create a second job or erase a correction. The colleague handling an exception needs the reference and a meaningful next action, rather than a raw technical trace.
Provider access and supported operations are checked before making a firm implementation commitment. An export or read-only view may be a useful alternative if the intended API operation is unavailable. Specialist payment and financial rules remain with your provider and qualified advisers.
Trace one paper reference into the staff tool
Suppose a fictional intake record carries paper reference R-027 into an existing job system. The intake team owns the customer's proposed details; the receiving team owns the assigned job and its operational state. If a response is lost, a supported destination lookup should establish whether that operation already created a job before another write is attempted. We first check that the actual account and interface support that lookup; an export-and-review step may be the safer available scope.
Then correct the contact's display spelling and create a genuinely different job for the same customer. Neither the corrected name nor the shared contact address should become the job's identity. The mapping retains the source request, operation reference and destination job relationship. If the destination already contains a conflicting correction, the transfer waits for the named owner instead of choosing a value silently. Acceptance follows both jobs through the receiving screen and gives staff one clear exception to resolve.
Bring the current manual handover and redacted sample records. If checkout is the main journey, see payment integration planning. A one-time move belongs in migration discovery.
