Can the tool remove one contact detail without deleting the job?
An organisation's information decision can be narrower than the operations offered by a software product. Before selecting a tool, demonstrate the particular change the owner has authorised and inspect what else that operation affects.
This fictional comparison concerns an obsolete mobile number in a service business's current contact profile. The business and its responsible adviser have already defined the intended treatment for this example. The article compares technical capability; it does not determine a retention obligation or the response required by privacy law.
State the authorised change precisely
Contact C-54 has a mobile number that should no longer appear in the current operational profile or views that read that field. The owner requires the contact's internal identifier, current approved email route and job relationships to remain. Two closed jobs, J-54 and J-55, must retain their references and recorded service history under the organisation's approved policy.
A signed historical document contains the former number as part of its original content. Its treatment requires a separate decision and is explicitly outside this current-profile operation. Removing a field from a live record must not be described as erasing every copy of the value everywhere.
The procurement question is therefore specific: can an authorised operator clear the obsolete current field, preserve the agreed relationships and demonstrate what the ordinary staff views and current-profile export now contain?
Inspect what each candidate actually supports
Candidate A allows the operator to deactivate or delete an entire contact. Its inspected interface does not provide a supported way to clear the required mobile field while retaining an otherwise usable profile. Deactivation leaves the number in the profile export; deletion removes the contact relationship needed by the job view.
Candidate B's inspected arrangement supports a field-level correction by an authorised role. It can clear the current mobile value while retaining C-54 and the approved email field. The comparison concerns that actual arrangement; it is not a claim about all products in either category or about a feature that might exist in an untested subscription tier.
The owner does not accept “delete and recreate the contact” as an equivalent demonstration. That would introduce a new identity and require evidence about job relationships, history and references that the proposed operation was meant to preserve.
Perform the bounded capability exercise
Using fictional data in the private comparison, the authorised operator clears C-54's current mobile field through Candidate B's supported correction. The operator then opens the profile, each linked job and the current-profile export.
The profile shows no current mobile number. J-54 and J-55 still identify C-54 through the same internal relationship and retain their own service references. The current-profile export includes C-54 and its approved email but no former mobile value in that field.
An unrelated contact C-56 retains its number and job relationships. An ordinary role without correction authority cannot perform the field change. These controls establish that the selected operation is both limited to the intended record and available only through the agreed permission.
| Required evidence | Candidate B fixture result |
|---|---|
| Current profile field | Obsolete mobile number cleared |
| Contact identity | C-54 retained |
| Existing jobs | J-54 and J-55 remain linked and readable |
| Approved email route | Unchanged |
| Current-profile export | Same contact, cleared mobile field |
| Unrelated C-56 | Unchanged |
| Role without correction permission | Operation denied |
The signed historical document is still present and unchanged. That result is recorded as the remaining separate decision, not concealed as a failed or completed part of the current-profile change.
Select the capability that matches the requirement
For this particular requirement, the owner selects Candidate B's supported field-level correction arrangement. Candidate A is not chosen on an assumption that a complete-contact operation can somehow be made equivalent without further work.
The selection remains conditional on the wider project assessment: account ownership, migration, security review, ongoing support and the organisation's approved information treatment. Passing this one exercise is evidence for one capability, not a complete procurement assessment or compliance certification.
The project also records where the value may exist beyond the current-profile export, including historical documents, authorised archives and working copies. The responsible owner must define their treatment separately and establish which tools can implement it. A favourable demonstration should not encourage a broader claim than the actual exercise supports.
Use the same requirement in every proposal
Ask each candidate to show the same starting record, authorised operation and resulting relationships. Keep product labels such as “contact management” out of the acceptance decision until the actual operation has been demonstrated.
Record the supported account or feature arrangement and the evidence the future operator will retain. A written description of the capability should be accompanied by a task the organisation can review, with limitations and unresolved dependencies visible.
The vendor evaluation page helps structure the wider comparison. For customer portals and data moves, this level of specificity can reveal an important fit question before records are committed to a new tool.
