Give customers a useful view of their own work.

Let someone find the right document or respond to a request without opening your internal staff system.

Choose a repeated customer question

Start with the information customers ask your team to resend: an approved document, a current request or the detail needed before a visit. We build the customer view around those tasks. Showing every internal status can make the portal more confusing and expose information that should remain private.

The scope can cover invitations, customer roles, document access, review actions and an understandable activity history. Your business defines who is entitled to each record. We test those relationships with fictional accounts from different customer organisations.

Plan access on shared and personal devices

Discuss sign-out, account recovery and what happens when a customer contact changes roles. A person using a shared device needs a clear way to end access. The portal should not depend on support staff asking for a customer's password to investigate a problem.

Use the actual customer wording in phone and keyboard checks. Agree language review, document ownership and how a corrected file is distinguished from an earlier version. Privacy and retention decisions need the responsible business adviser; a login screen does not settle them.

A revised report and a replacement contact

In a fictional first portal task, a customer opens a service report and then receives a revised version. The current document must be identifiable, while the earlier approval remains attached to the version actually reviewed. A staff-only note explaining the revision should not appear merely because it sits beside the customer report in the internal system. Your business decides which history the customer needs and who can approve the replacement document.

Next, replace the authorised customer contact and review the journey on a shared tablet. Confirm the new person can reach the permitted report, the former contact cannot continue through an old session or direct link, and signing out ends the current session clearly. A file downloaded earlier is a separate local copy; removing portal access cannot promise to erase it. The acceptance record identifies those limits, the account-recovery owner and any information-handling decision needing the responsible adviser.

Bring redacted examples of repeated support questions. A small first portal task can be paired with staff operations software so the customer sees an explanation the team can keep current.
