Write a brief for a staff document index people can actually use

A brief should identify the decision the proposed result will help someone make. It does not need to prescribe every screen or database field, but it should give a reviewer enough material to distinguish a useful first delivery from a demonstration with missing context.

This worked brief concerns a fictional service desk's internal document index. It is separate from a customer portal and from the business's original document repository. Its first purpose is to help staff find an approved preparation note for the service they are discussing.

Begin with the actual task

The desk receives questions about inspection preparation and maintenance preparation. Staff currently open a shared folder and recognise documents from filenames. A new colleague can find several files but cannot tell which one applies to the requested service.

The first delivery is an index that relates the approved preparation note to the service, shows the note's purpose and links to the authorised existing destination. It does not create a new document editor, move the repository or authorise staff to change technical instructions.

That boundary gives the project a useful result without making every document-management feature part of the first scope.

Supply a small, discriminating source set

The owner prepares three fictional records:

Source record Approved purpose Intended index treatment
D-41 Customer preparation for an inspection visit Listed under Inspection preparation
D-42 Customer preparation before maintenance assessment Listed under Maintenance preparation
D-43 Internal purchasing instructions Excluded from this preparation index

The source includes each document's stable reference, approved title, service relationship, current destination and review owner. The index does not infer a relationship from the first word of a filename.

The original repository remains authoritative for the documents and their existing access rules. The index is a maintained route to the approved material. If a document's destination or status changes, the responsible owner needs a defined way to update or withdraw its index entry.

Write acceptance questions a colleague can answer

An ordinary desk operator should be able to start with an inspection enquiry, find D-41 and explain why it applies. Starting with a maintenance enquiry should lead to D-42. The operator should not see D-43 presented as a customer preparation note.

The review checks both the label and the destination. An index entry with the right title but the wrong file would fail. A working link to a document for the wrong service would also fail.

A fourth fixture has no approved preparation document. The index should state that the entry requires the responsible person's review rather than borrowing D-41 or D-42. The colleague must know where to take the question without interpreting absence as permission to use any available file.

Identify the people and constraints

The service owner approves the purpose and service relationship. The document owner confirms the current destination and content status. The desk operator reviews the find-and-open task. If additional language versions are needed, their coverage and qualified review are agreed separately.

The development discussion also needs to know which platform hosts the repository, who controls access and whether the proposed index can use its supported links. A private source document should not become public because it is now listed on a page.

Use fictional entries for the early preview. Access to the real repository follows a separate authorised arrangement once the scope requires it.

Name the first handover task

The recipient should update the destination of one approved index entry, review the resulting link and verify that another entry remains unchanged. The instructions should identify which changes need the document owner rather than presenting every field as an unrestricted edit.

The brief closes with the included entries, the acceptance cases and the person who can approve the result. Wider repository replacement, document authoring and customer access remain separate decisions.

Apply the same structure to your own task through project planning. When the audience, source material and first check are clear, send a project enquiry describing the useful result you want to commission.
